Export Clients from Divine

What this does

Once you export your client list from Divine and import it into SevaChat, Priya will recognise returning clients by name, greet them warmly ("Wapas aane ka shukriya!"), and offer them the same service as last time — all automatically.

Step-by-step guide

Open Divine and go to Client Management

Launch Divine on your computer. In the left sidebar, click on "Clients" or "Customer Management" (exact label may vary by version).

Select "All Clients"

Make sure no filters are active — you want the full list. If there is a date filter, clear it so all clients appear.

Tip: Divine sometimes defaults to "Active clients only". Change the dropdown to "All" to include inactive clients.

Click Export / Download

Look for an "Export" button near the top-right of the client list. It may also be labelled "Download", "Excel Export", or appear under a gear / settings icon.

Choose CSV or Excel format

In the export dialog, select CSV (.csv) or Excel (.xlsx). Either format works. Avoid PDF — it cannot be imported.

Tip: CSV is preferred as it opens correctly in all regions and locales.

Include all available columns

If Divine lets you choose columns, select: Name, Phone, Email, Date of Birth, Anniversary, Gender, First Visit Date, Last Service, Total Visits, Notes. The more columns you export, the richer Priya's context will be.

Save the file to your computer

Download the file to an easy-to-find location (Desktop or Downloads folder). The filename doesn't matter.

Go to SevaChat → Import Clients

In your SevaChat dashboard, click "Import Clients" in the sidebar. Drag and drop your file (or click to browse). SevaChat auto-detects column names and maps them.

Tip: You can re-import at any time — existing clients are updated, not duplicated.

Review column mapping and import

Check the mapping screen to confirm fields are matched correctly. If a column is missing or wrong, use the dropdown to fix it. Click "Start Import" when ready.

Phone number formats supported

SevaChat automatically normalises any of these formats to a standard E.164 number:

Rows with unrecognisable or missing phone numbers are skipped and listed in the import summary so you can fix them.

Common questions

Will importing delete any existing SevaChat clients?

No. Import only adds new clients or fills in missing information on existing ones. It never deletes or overwrites existing data.

Can I import multiple times?

Yes. Re-importing is safe. If a client already exists (matched by phone number), only blank fields are filled in — existing data is never overwritten.

What happens to clients with missing phone numbers?

They are skipped and shown in the "Skipped rows" list at the end of the import. Fix the number in Divine and re-export to include them.

How does Priya know a client is returning?

When a client imported from Divine has a Total Visits count greater than 0, Priya greets them as a returning client and can offer them the same service as last time.

I don't see an Export button in Divine — what do I do?

Contact your Divine support team or check the Divine help docs. Alternatively, you can manually create a CSV with columns: Name, Phone, Email, DOB, Total Visits.
